We stand behind our product and want you to be completely satisfied. This refund policy outlines when you can receive a refund and how to request one.

1. Free Trial Period

GymFlow Pro offers a 14-day free trial for new customers. During this period:

  • You can explore all features of your selected plan at no cost
  • No credit card is required to start the trial
  • You will not be charged unless you choose to subscribe after the trial ends
  • You may cancel at any time during the trial with no charges

We encourage you to thoroughly evaluate the Service during the free trial period to ensure it meets your needs before committing to a paid subscription.

2. Subscription Refunds

2.1 Monthly Subscriptions

Monthly subscriptions are eligible for a full refund within 7 days of the initial payment if:

  • This is your first paid month (not applicable to renewals)
  • You have not extensively used the Service (as determined by our reasonable discretion)
  • You contact us within 7 days of the initial charge

Renewal charges for monthly subscriptions are not refundable. You should cancel before your renewal date if you do not wish to be charged for the next month.

2.2 Annual Subscriptions

Annual subscriptions are eligible for a pro-rated refund within 30 days of the initial payment if:

  • This is your first annual payment (not applicable to renewals)
  • You have not extensively used the Service
  • You contact us within 30 days of the charge

The refund will be calculated as: (Total Amount Paid) - (Monthly Rate × Months Used)

Renewal charges for annual subscriptions are not refundable.

2.3 Add-Ons and Upgrades

Charges for add-on features or plan upgrades are not refundable. When you upgrade your plan mid-cycle, you receive immediate access to upgraded features, and charges are prorated for the remainder of your billing cycle.

3. Non-Refundable Items

The following are not eligible for refunds under any circumstances:

  • Subscription renewals (monthly or annual)
  • Charges incurred after the refund eligibility period
  • Services already rendered or consumed
  • Custom development or implementation fees (if applicable)
  • Training or consulting services (if applicable)
  • Third-party services or integrations
  • Charges resulting from your failure to cancel before renewal

4. Exceptional Circumstances

In certain exceptional situations, we may provide refunds outside the standard policy at our sole discretion:

4.1 Service Issues

If the Service experiences significant downtime or technical issues that prevent you from using it for an extended period, we may offer a pro-rated refund or credit for the affected time period.

4.2 Billing Errors

If you are charged incorrectly due to a system error or billing mistake, we will promptly refund the erroneous charge in full.

4.3 Duplicate Charges

If you are accidentally charged multiple times for the same subscription period, we will immediately refund the duplicate charges.

4.4 Unauthorized Charges

If charges are made without your authorization (e.g., account compromised), contact us immediately. We will investigate and issue appropriate refunds if the claim is substantiated.

To request a refund, follow these steps:

    You'll receive an email with the decision. If approved, the refund will be processed to your original payment method.

Response Time: We aim to respond to all refund requests within 2-3 business days.

Processing Time: Approved refunds are processed within 5-7 business days. Depending on your payment provider, it may take an additional 3-10 business days for the refund to appear in your account.

6. Cancellation vs. Refund

It's important to understand the difference:

Cancellation

  • ✓ Stops future billing
  • ✓ Access continues until period ends
  • ✓ No refund for current period
  • ✓ Can be done anytime from account settings

Refund Request

  • ✓ Requests money back for current charge
  • ✓ Subject to refund policy terms
  • ✓ Requires contacting support
  • ✓ Must meet eligibility criteria

Important: Canceling your subscription does NOT automatically trigger a refund. You must explicitly request a refund if you believe you are eligible under this policy.

7. Chargebacks

We encourage you to contact us directly to resolve any billing issues before initiating a chargeback with your bank or credit card company.

If you file a chargeback:

  • Your account will be immediately suspended pending resolution
  • We will provide evidence of the service delivery to your payment provider
  • If the chargeback is found to be unjustified, your account may be permanently terminated
  • You may be responsible for chargeback fees and legal costs

In most cases, we can resolve billing disputes faster and more amicably than the chargeback process.

8. Refund Methods

Refunds are issued to the original payment method used for the purchase:

  • Credit/Debit Card: Refunded to the same card within 5-10 business days
  • PayPal: Refunded to your PayPal account within 3-5 business days
  • Bank Transfer: If the original payment method is no longer available, we may issue a bank transfer (may require additional verification)

We cannot issue refunds to different payment methods or accounts for security reasons.

9. EU and Consumer Rights

For EU Customers: Under the EU Consumer Rights Directive, you have the right to withdraw from online purchases within 14 days without giving a reason. This applies to your initial subscription purchase.

However, by using the Service during this period, you acknowledge that you are requesting immediate access and waive your right to a full refund if you cancel after using the Service. A pro-rated refund may apply.

This policy does not affect your statutory rights under applicable consumer protection laws.

10. Changes to Refund Policy

We may update this Refund Policy from time to time. Changes will be effective immediately upon posting. Significant changes will be communicated via email.

Your continued use of the Service after policy changes constitutes acceptance of the updated terms. Refund requests will be evaluated under the policy in effect at the time of purchase.
